Customer-Supplied Components for Wire Harness Assembly: A Handoff Checklist
If you plan to provide connectors, terminals or other parts for an assembly project, first ask whether the manufacturer can accept those parts and under what conditions.
Do not ship components on the assumption that possession of the parts resolves compatibility, tooling, inspection or scheduling questions. This guide helps prepare a handoff proposal; it is not a statement that Cablum accepts all customer-supplied materials.

Agree the Arrangement Before Shipping Parts
Send the proposed component list and the intended harness drawing or BOM. Ask the supplier to review the part identities, quantities, presentation and relevant documentation before either party relies on a delivery date.
Clarify who supplies each item. A housing supplied by the buyer may still need separately identified terminals, seals or accessories. Avoid describing a collection as a complete kit unless both parties have agreed what the kit contains.
Specific processing feasibility, documentation needs and responsibility for unsuitable material require project confirmation. Do not infer feasibility from a photograph or a similar-looking part.
Prepare One Line for Each Component
| Handoff field | Information to provide |
|---|---|
| Component identity | Manufacturer, complete part number and the corresponding BOM item |
| Quantity and unit | Planned quantity and whether counted as pieces, sets, reels or another defined unit |
| Supply presentation | Loose pieces, carrier strip, reel or packaged set, with relevant handling information |
| Lot and source information | Available identifiers and supporting records requested for the project |
| Condition | Unopened, repacked, previously handled or another accurately described state |
| Documentation | Available drawings, datasheets and applicable handling instructions |
| Proposed arrival | Expected shipment timing, subject to acceptance of the arrangement |
| Open decisions | Any quantity, compatibility, inspection or commercial point still awaiting agreement |
Preserve existing manufacturer identification and packaging where applicable. Ask how parts should be presented rather than repacking them into anonymous mixed bags.

Do Not Guess the Extra Quantity
Ask the manufacturer whether setup, evaluation or other agreed activities require additional components beyond the finished-assembly BOM quantity. There is no universal extra percentage supplied by this checklist.
For clarity, distinguish components intended for finished units from any separately agreed setup or evaluation allowance. Confirm how consumption will be recorded and what happens if the available quantity is insufficient.
Fictional arithmetic example: if an approved BOM requires two of one terminal per assembly and the proposed build contains 40 assemblies, the finished units account for 80 terminals. This calculation does not establish the total shipment quantity or include any additional project allowance.
Separate Receipt From Acceptance for Use
A delivery acknowledgement can confirm that a package arrived without confirming that every component is suitable for the intended build. Ask which receipt checks and technical reviews are included.
- How will quantity differences or missing identification be reported?
- What happens if the supplied part differs from the approved BOM?
- Who decides whether questionable material can be used?
- Which additional information is needed before the schedule can be confirmed?
A proposed replacement should follow a separate component substitution review, not be silently treated as the same item.
Agree How Unused or Questionable Parts Are Handled
Before the build, discuss how remaining quantities, rejected items and any agreed evaluation consumption will be recorded. Confirm the instructions for returning, retaining or otherwise handling components and who must authorize those actions.
Do not assume free storage, automatic replacement, a particular loss allowance or a standing arrangement for future orders. The agreed quotation and project documents should describe the applicable responsibilities.
If arrival or acceptance of supplied parts affects timing, include that dependency in the lead-time confirmation.
Copy-and-Paste Handoff Inquiry
We propose supplying the components listed in the attached table for [assembly part/revision]. Please confirm whether this arrangement is feasible before we ship.
Please identify required documents, acceptable packaging or presentation, any separately agreed quantity allowance, receipt checks and open technical questions.
Please also confirm how unused or unsuitable parts would be recorded and handled. We will wait for agreed shipping instructions and project conditions.
Request a Project-Specific Review
Cablum can review customer drawings, BOMs and component requirements. Acceptance of customer-supplied parts must be confirmed for the particular project; this checklist does not promise a consignment or stockholding service.
